UNDP is seeking a qualified Malaysian to fill the position of Administrative Assistant. Under the general direction and supervision of the Director of Operations, the Administrative Assistant provides overall administration and execution of varied and inter-related operational and logistical activities, including leadership in the execution of supply services ensuring efficiency, transparency and integrity? . The Administrative Assistant promotes a client, quality and results-oriented and. ensuring high quality and precision work associate administrative work closely with Operations, Programme and project staff in the CO and other agencies of UN staff to share information and deliver service constant.

Responsibilities 
1. Ensures implementation of operational strategies, focusing on achieving the following results: full compliance of administrative activities with UN / UNDP rules, regulations, policies and strategies. Support for the CO mapping business processes and the development of internal procedures standard operating procedures (SOPs). Preparation of administrative team results-oriented work plans. Elaboration of proposals and implementation strategies to reduce costs and reduction in consultations with office management, including cost recovery for the provision of support services
2. Delivers effective and efficient administrative support services, focusing on achievement of the following: coordination and supervision of support staff engaged in the fields of registry, general services, fleet management etc. Coordination and supervision of shipments and clearance, travel, events management, administrative surveys, transportation services and insurance, space management, purchasing supplies. Support to UN agencies and coordinating travel arrangements of support with protocol matters, registration of staff, coordination with local authorities, on space and other administrative matters. Reporting on administrative services provided by the cost recovery bills
3. Provides procurement and assets, focusing on achieving the following results: Preparation of the plan of long-term supply agreement, the organization of procurement activities, including the purchase of services consultancy (SSA) Preparation of orders and contracts to coordinate asset management in the CO, timely preparation and submission of periodic reports of inventory, coordination of physical verification of stocks. Coordinating the provision of office supplies reliable and quality

Required skills and experience of secondary education. Certification in administration. University degree in business or public administration preferred to 7 years of relevant experience in administration or service program support. Experience using computers and office software (MS Word, Excel, etc.). Experience in managing management systems based on the Web. Familiarity with International Accounting Standards in the sector is an asset. The successful candidate will be responsible to complete and pass the UNDP procurement certification within 6 months of membership. Fluency in English and Malay mastery of software applications is a prerequisite.
